Who we are
Last updated: October 2, 2026
Esencia Coffee is a mobile espresso and matcha bar that caters events across El Paso, West Texas, and New Mexico. This policy explains what information we collect through esenciacoffeecatering.com and when you book with us, how we use it, and the choices you have.
The short version: we use your information to plan and serve your event, we never sell it, and you can ask us to delete it at any time.
What we collect
We only collect what we need to quote, plan, and serve your event.
- Quote requests. Our quote form runs on third-party booking software. When you fill it out, we collect your name, email, phone number, and event details like date, location, and guest count.
- Bookings and payments. If you book, we keep your contract, invoices, and payment records. Payments are processed by Stripe. We never see or store your full card number.
- Messages. When you email, call, or text us, we keep those messages so we can follow up about your event.
- Event drink orders. If you place a drink order for an event we're serving, we collect your name, your drink choice, and any details your host asks for, like your team.
- Website visits. Like most websites, ours automatically receives basic technical information when you visit, such as your IP address, browser, device type, and the pages you view. See Cookies and tracking below.
- Business outreach. If we contact you at work, we use publicly available business contact details.
How we use it
- To send your quote and answer your questions
- To plan, staff, and serve your event
- To process deposits and payments
- To follow up on your quote. After you request one, we send a few follow-up emails. Ask us to stop anytime and we will.
- To check in with past clients about booking again
- To keep business, tax, and legal records
- To understand how people use our website and how our ads perform, so we can improve both

Who we share it with
We don't sell your personal information or share it for anyone else's marketing. We only share it with:
- Baristas working your event. They get the details they need to work it, like the date, time, location, and on-site contact.
- Your event host. If you place a drink order for an event, the host can see the order list.
- Your venue or event planner. When needed to coordinate setup, like arrival time and power access.
- Service providers that run our business. Our third-party booking software, Stripe (payments), Google, Microsoft, and Netlify (website hosting).
- Authorities, when the law requires it. For example, a valid legal request or a tax audit.
Event photos
We sometimes take photos of our bar at events and share them on our website and social media. Guests may appear in some of them.
If you're in one of our photos and want it removed, email us and we'll take it down. If you'd rather we not post photos from your event at all, just tell us when you book.
How long we keep it
- Bookings and payment records: at least 4 years, for tax purposes
- Quote requests that don't book: 2 years, then deleted
- Event drink orders: deleted within 90 days after the event
- Website analytics: kept by Google and Microsoft under their own retention rules
Your choices
- See, fix, or delete your information. Email us and we'll respond within 30 days. We may need to keep some records, like invoices, for tax purposes.
- Stop emails or texts. Reply “stop” and we'll stop.
- Cookies. You can block or delete cookies in your browser settings. You can also turn off personalized Google ads at My Ad Center.
Children and updates
Our website and services are for adults planning events. We don't knowingly collect information from children under 13. If you think a child sent us information, email us and we'll delete it.
If we change this policy, we'll update the date at the top of this page.
